GENERAL
How Nanny Parent Connection Works

There are many different ways that members use the tools on this site and our online community. Some only use our Last Minute Care Text Servicebackground check system, Pay Calculator or other tools we offer but the vast majority of members join in order to learn about, find, screen, and hire a care provider. Below are the most popular pathways that members use to find a care provider or a family to work with:

Finding a Full or Part Time Care Provider or Family to Work With

The quickest way to find a care provider or family for a long-term, full or part time position is to post to our Facebook community. Over 4,000 members are active daily in the community. Most parents and providers find that they begin hearing from interested members within a few minutes of posting their need. Our team also uses our Facebook community to direct providers and parents to child care opportunities that may be a good fit for them. Don’t forget that all Family/Parent and Care Provider members are welcome to ask our team for help! Just send us an email here and we will be happy to help with your search.

If you are looking for a care provider with a specific skill set (i.e. speaks Spanish or has experience caring for special needs children), try using our Member Search tool. You can find this tool by clicking Account and then Member Search. Search for any keywords including specific member’s names, Facebook profile name, location, languages spoken, etc.

Finding Temporary, Date Night or Short Term Child Care Opportunities

We strongly encourage members that are looking for a temporary, date night, or short term child care arrangement to post to the Facebook community but we offer several other tools that you should use as well:

Our CareCalendar is a quick and effective way to find families seeking care or providers offering care on certain days/times in your area. This tool works great for parents looking for child care (or providers offering care) lasting anywhere from a few hours to two weeks – think date nights or coverage for a permanent nanny who is on vacation. You can find the CareCalendar by clicking this link.

The Last Minute Care Service is a tool where parents who are in urgent need of child care (think preschool was just closed or you just found out you have a last minute meeting at work tomorrow) can text message their child care need to all of our subscribed care providers. Most parents finds that they hear from multiple care providers within a few minutes of the text message being sent out. You can find the Last Minute Care Service by clicking this link.

For parents looking for an already vetted/screened care provider in the near future, we offer our Verified Care Provider Service. This tool works great for parents that know they will need a temporary nanny in the coming days or weeks (such as scheduled business travel, doctor appointment, or date night) but don’t have the time to screen care providers. Similar to the Last Minute Care Service, providers are notified via text message of a parent’s child care need. The difference is that all care providers subscribed to the Verified Care Provider Service have been through our screening process. To learn more about how we screen or about the Verified Care Provider Service, please click this link.

Below is a quick reference table for determining which tool you should use for different types of child care scenarios:

Please send us an email or call/text us at (425) 243-7032 if you need help using any of the above tools.

BACKGROUND CHECKS
Using the Background Check System

We built our background check system so that customers can order a background check in less than five minutes. The only information needed to order a background check is the candidate’s name, phone number and email address. Once the order has been placed, our system immediately sends an authorization email to the candidate. The candidate then inputs the remaining required information (address, driver’s license information, etc.) and then authorizes the background check to run.

The length of time needed to process the actual background check components is based on whether any flags are found and how quickly we hear back from the reporting government agencies. Most background check orders complete within two to three business days. Please understand that there is no way for us to expedite a background check order.

Once the background check order is complete, we will email the background check report to you. During the authorization process, the candidate can also request a copy of the completed background check report as well.

Our background check system works no matter where you or your candidate live in the United States of America.

If you have any questions about our background check system, please visit our Background Check FAQ section by clicking here.

If you would like to check on the status of a background check order, please email us here.

CARECALENDAR

Care Providers: How to Use the CareCalendar

The CareCalendar is one of our most helpful tools as it provides care providers the ability to find and offer short term, temporary or last minute child care opportunities in an easy to use, calendar format. We understand that many providers have long term, full or part time positions but would like to augment their monthly income. With that in mind, we built the CareCalendar so that providers can find or offer child care for when they would like to work.

find childcare online

Note: You should not use the CareCalendar for long term child care opportunities (those lasting more than two weeks).

Please use the following guide to successfully set up your profile and begin using the CareCalendar:

Step #1: Fill out your Profile

You can access your Profile by clicking on Account at the top of this page:

nanny parent connection profile

Next, you will be shown your Account menu. Click on Profile and then Edit.

book nannies online

You will now see the different profile groups you can edit (About, Resume, Background Check, First Aid/CPR Certification, and References). Spend a few minutes and fill out the information in each group. This is IMPORTANT because it will allow families/parents to learn more about the type of child care you offer, where you offer care, whether you have references, etc.

If you want to change who can see certain Profile fields, click on the pink “Change” button. Remember, only members with an active membership can view your profile or CareCalendar events – not the general public.

nanny online calendar

We also recommend that you add a profile photo and cover image. You can find buttons to add those next to the Edit button.

That’s it! Your Profile is now setup and you can begin using the CareCalendar.

Step #2: Add or Search for Child Care Events

There are two ways to use the CareCalendar; adding a child care event for Family/Parent members to see or searching for events already posted by Family/Parent members.

Adding an Event

To publish a new child care event, visit the CareCalendar and click Add Child Care event. You can also add a new event by clicking Account > CareCalendar > Summary > Add Child Care Event.

nanny booking calendar

You can then enter the details of your event. A couple of important things to remember:

Name Your CareCalendar Event: This is the first piece of information that Family/Parent members will see when viewing the CareCalendar. Make your event title clear and concise. Below are several examples:

“Nanny with 10 Years of Experience Available Today!”

“Afternoon Nanny Available for up to Three Children”

“Need a Date Night? Bellevue Based Career Nanny Available”

Category: It’s important to select the right category or categories when setting up your child care event. Family/Parent members use the event categories drop down menu on the CareCalendar to sort for care providers in their area. If you would like to offer care in multiple locations (i.e. Seattle and East King County), you can do so by multi-selecting your desired categories. If you are looking to provide care for a nanny share, make sure you select the nanny share category for the area you would like to work.

Event Image: Adding an event image increases the likelihood that a Family/Parent member will book your event. It doesn’t need to be a picture of yourself – some post pictures of their pet, favorite artwork, or a stunning landscape shot.

Allow Online Bookings?: This is a very important option which if selected, will allow Family/Parent members to book your child care event online. If a family books your child care event, you will receive an email notifying you of the booking. You can then decide whether to approve or decline the booking. If you choose to not allow online bookings, make sure you let Family/Parent members know to contact you via direct message (more on this below) in the Description.

After you have finished adding the details of your event, click Submit Event and your event will immediately be posted and visible to other members on the CareCalendar!

nanny parent connection calendar

What happens next? When a Family/Parent member is interested in your child care opportunity, they can either book you online (if you enabled the Allow Online Bookings option) or contact you via direct message to complete the booking.

If they booked your event online, you will receive an email that a member wants to book your event along with information about the member who is interested in working with you. You can then view their Profile, direct message or email them (i.e. to ask questions, confirm pay rate, arrival time, etc.). If you feel that they would be a good fit, you can then approve the booking. If not, you can decline the booking. Either way an email is automatically sent to the member notifying them of your decision.

If you approved the booking, direct message the member and work out the specifics. You’re all set!

To learn how to manage your events and bookings, click here.

Searching Events

If you prefer to search for events that Family/Parent members have published instead of posting your own event, visit the CareCalendar and use the navigation buttons at the top to select the month, week or day you are interested in. You can also use the drop down menu “All Event Categories” to filter for types of child care and geographic areas. If there are many events posted for that day, switch from the Month to the Week or Day view to get a clearer sense of what Family/Parent members are needing that day.

carecalendar

When you find an event you are interested in, click on the event name to learn more. There, you will find more details about the event, an option to book the event or you can visit the profile of the member offering the event to see if they might be a good fit.

Want to book the event but have a question or two first? No problem! While viewing the member’s profile offering the event, just click the Private Message button to send a direct message to them.

If you decide to book the event, a confirmation email will be sent to both you and the member offering the event with further instructions.

If you have any problems with the CareCalendar or your bookings, call/text us at (425) 243-7032.

Families/Parents or Agencies: How to Use the CareCalendar

The CareCalendar is one of our most helpful tools as it provides families and agencies the ability to find short term, temporary or last minute child care opportunities in an easy to use, calendar format. We understand that many families are short on time and need to find child care as soon as possible. With that in mind, we built the CareCalendar so that families (and agencies) can visually see if there is currently a care provider available for a specific date/time period, make sure they are a good fit by viewing their Profile, and then book that provider all in just a few minutes.

Next, you will be shown your Account menu. Click on Profile and then Edit.

You will now see a list of questions about your family and what kind of child care you are looking for. Spend a few minutes and answer each question (you can skip many of the questions if you prefer not to answer although some are required). This is IMPORTANT because it will allow care providers to learn more about the type of child care you need, where you live, number and ages of children, etc.

If you want to change who can see certain Profile fields, click on the pink “Change” button. Remember, only members with an active membership can view your profile or CareCalendar events – not the general public.

We also recommend that you add a profile photo and cover image. You can find buttons to add those next to the Edit button.

MEMBER SEARCH

The Member Search tool has a wide variety of uses. You can search for a specific member by their name (ex. “Pauline Parent” or just “Pauline”) as well as search for keywords in another member’s profile (ex. “Spanish”, “autism”, or “infant care”). This works great if you are looking for a nanny with a specific skill or ability or a family looking for a specific type of child care or provider.

Using Member Search

Access the Member Search tool by clicking on Account > Member Search or by clicking on this link. You can choose to search only certain types of members (My Friends, Care Providers, Family/Parents, etc.) or All Members. You can also send a friend request to connect with them or click on their name to view their Profile if you would like to learn more about them or send a Private Message.

HOW TO USE YOUR ACCOUNT PAGE

You can access your Account page by clicking here. The following is an explanation of each section of your Account page:

Profile

Similar to Facebook, this is where you will build your profile. If you plan to use this site to find or offer child care, WE STRONGLY RECOMMEND THAT YOU FILL OUT YOUR PROFILE AS SOON AS YOU CAN. The information in your Profile is important as it will help other members find and connect with you – either through the CareCalendar or through our Member Search tool. For more information on filling out your profile, please see the “How to Use the CareCalendar for Providers” or “How to Use the CareCalendar for Family/Parents or Agencies” sections in the CareCalendar topic above.

Membership

Use this section to view your current subscription and payments. To change/cancel your subscription or update your credit/debit card, click on Subscriptions and then the desired action.

Notifications

When another member sends you a direct message, you will be notified in this section. You can also see when you receive a new message by keeping an eye on the notification bar located at the top of the page (if you are logged in):

Messages

This section is where you will manage messages sent to and from you. If you want to contact with another member about child care (or they want to contact you), a direct message can be sent. Below are a couple of examples on how members use this section:

“Peter Parent sees that Natalie Nanny is offering child care on an evening he would like to take his wife to the theater. He sends a message to Natalie asking a few questions about her experience and pay rates. Natalie responds and Peter decides to book her for date night child care.”

“Pauline Parent has a new baby and often needs a break to go to doctor’s appointments, grocery shopping, or to pick up her older child from school. She has previously hired several nannies and sitters from Nanny Parent Connection and added them as Friends. When she needs child care, she simply sends a group message to all of the sitters that she knows and asks if anyone is available!”

“Natalie Nanny is a care provider that speaks Mandarin. A parent is looking for a Mandarin speaking care provider and can see that Natalie has that ability by using the Member Search tool. The parent sends a direct message Natalie to see if the can work together.”

Friends

Similar to your favorite social media site, this is where you can view your current friends and request friendships with other members. Below is an example of how members use this section:

“Pamela Parent works on-call as a nurse and can be called into work unexpectedly at times. She has previously hired several nannies and sitters from Nanny Parent Connection and added them as Friends. When she is called into work, she clicks on these care provider “friends” so that she can see if they are offering child care that day by viewing their CareCalendar. Pamela finds a provider who is available today and books her!”

CareCalendar

The CareCalendar is one of our most helpful tools as it provides members the ability to find and offer short term, temporary or last minute child care opportunities in an easy to use, calendar format.

nanny parent connection help

The CareCalendar consists of the calendar where members post and search for child care opportunities (see example above) and the portal where you manage your events and bookings.

To learn how to access, post or search events on the CareCalendar, click here.

To learn how to manage your events and bookings, continue reading below:

Summary: This is the first tab you will see once you click Account > CareCalendar and is a summary of your events and bookings. From here, you can view the CareCalendar, see child care events you have created, and view events that you have booked. You can also create a new event here by clicking the Add Child Care Event button.

If you view another member’s profile (by using Member Search), in this section you will see the CareCalendar events that they have created.

Event’s I’ve Booked: This is where you can view events that you have booked (i.e. if you are a parent and have booked a care provider to come to your home to care for your child), the date of the event and whether your booking has been approved or rejected by the member who created the event. You can also click the event name to see the details or cancel the event on this page.

My Events: Within this tab, you will see all of the events that you have ever created, the event’s location, whether they have been booked or not, and if they are a single event or recurring event. You can also delete and duplicate your child care events here.

My Locations: The CareCalendar allows you to create multiple locations. Family/Parent members may only ever have one location (i.e. their house) but Care Provider members may want to add different locations dependent on where they are offering child care during the week. Below is an example:

“Natalie Nanny drops off and picks up two children from school every Monday, Wednesday, and Friday mornings in Bellevue. Natalie lives in Everett and would prefer not having to drive back and forth to Everett in the middle of the day. Natalie creates a new CareCalendar event for mid-day on Mondays, Wednesdays, and Fridays with the location set as Bellevue and publishes that event. She hears from other Bellevue parents that need child care in the middle of the day and books them. Less time stuck in traffic and more money earned!”

My Event Bookings: We’re all busy so we built this tab so that you can quickly manage all of your bookings in one place. Whether you have booked another member’s event or want to check and see if an event you created has been booked, you can manage everything in this page. Use the drop down boxes to filter for past or upcoming events. You can also filter events to see what is pending, confirmed, rejected, etc. Use the Approve, Unapprove, Reject, and Delete buttons to manage your bookings. Remember, whenever you approve or reject a booking, an email is automatically sent to the other user notifying them of your decision.

Member Search

To learn about Member Search and how to use it, please review the Member Search section above.

Settings

In the Settings section, you can make changes to your account and profile:

General: You can change your email and password here.

Email: In this section, you can change your email notification settings. We STRONGLY recommend leaving the “A member sends you a new message” option enabled so that you are notified right away via email about a child care opportunity even if you are not logged into this site.

Profile Visibility: Here you can change what members can see the information in your Profile. There are three options: Only Me, All Members, and My Friends.

REWARDS PROGRAM
Using the Rewards Program

Like many small businesses, we don’t have a massive advertising budget. That means we rely on “word of mouth” advertising to spread the word about Nanny Parent Connection. To show our appreciation, we offer the Nanny Parent Connection Rewards Program to both members and non-members. You do not need an active membership to participate in this program.

If you would like to learn more or start using our Rewards Program, please visit this link.
